Those who are interested in an event organised by ALFI are asked to carefully read the following registration terms and conditions, which registrants accept by submitting their registration to the respective event. If someone interested in an event organised by ALFI does not agree with the terms and conditions, ALFI will be unable to accept the registration. Registrants enter into a binding agreement with ALFI when they register for an event (including if the event is free of charge). ALFI may update these terms and conditions at any time. Consequently, registrants are invited to regularly refer to the latest terms and conditions in effect when they proceed to a registration.


Registration is valid for one natural person only who is at least 18 years old. A different rule only applies to events that are expressly also or exclusively aimed at minors.


Registration to free (non-paying) events:

The registrant will receive, at the latest one day prior to the event, a confirmation (with an access link, where applicable) by e-mail from ALFI’s registration department (registrations@alfi.lu). Registrants are asked to check their spam folder or to contact ALFI should they not receive any confirmation.


Registration for the 2025 London Conference:

Registration is free for fund professionals based outside Luxembourg, representatives of companies sponsoring the event, speakers and selected invitees. There is a fee for fund professionals from Luxembourg-based companies (unless they are sponsoring the event, speakers or selected invitees).

All registrants will receive a final confirmation email from ALFI's registration department (registrations@alfi.lu) at least one day prior the event. Registrants are asked to check their spam folder or contact ALFI if they do not receive this email.

Paying registrations

Fund professionals from Luxembourg-based companies (who are not sponsoring the event) must register on the Ticketbutler platform. Conference fees must be paid in advance of the event and online via the Stripe payment platform (no bank transfer possible). An automatic registration and payment confirmation will be sent upon receipt of payment. The invoice with the settled amount will be sent by email to the billing contact provided during the registration process. VAT will be applied in accordance with current VAT legislation.

Member fees

To qualify for member fees, the registrant must work directly for the member company or fund whose name must be provided during the registration process.

Registrants are requested to notify ALFI's Registration Department in writing (email to: registrations@alfi.lu) of any changes to their registration details before the relevant deadline (please refer to the table of deadlines at the end of these Terms and Conditions).


Registration to paying events (with the exception of the 2025 London conference):

 

Confirmation and payment
The registrant will receive, at the latest one day prior to the event, a confirmation (with an access link, where applicable) and registration number by e-mail from the registration office Parthen R&S (registration@parthen.nl) upon which the full registration fee is due and cancellations are subject to handling fees (see cancellation conditions below).

Registrants are asked to contact registration@parthen.nl if they have not received confirmation within 5 days after their registration.

The invoice will be sent by e-mail to the billing contact as provided during the registration process. Conference fees must be paid prior to the event. Full pre-payment or a credit card guarantee is required (see payment options below).

Member fees
To qualify for member fees, the registrant must work directly for the member company or fund whose name must be provided during the registration process.

Early bookings and access
First-in and early bird: A beneficial rate is only applicable if payment is made by the corresponding deadline, (reference is made to the deadlines overview at the bottom of these terms and conditions). After the specified date, the standard rate applies.

For online events, access per pass is limited to one person (on one device). A personalised access will be sent to the registrant’s e-mail address at the latest one day before the booked session(s).

Splitting the ‘full event’ package between people and part-time substitution is not possible.

For any changes to registration details, including replacements, upgrades or downgrades, registrants are kindly asked to send a written notice to the registration office ‘Parthen’ (registration@parthen.nl) before the respective deadline (reference is made to the deadlines overview at the bottom of these terms and conditions). For changes to the booked registration option, the new fee will be calculated based on the rates that apply on the day of the change.

Late registrations
For late registrations a credit card guarantee is required as the full fee is due upon receipt of the registration number.

Special registration procedure for group bookings

Group bookings must be made through a dedicated booking form in order to receive a group invoice and/or to benefit from the group discount. Registrations must be centralised and paid by the company's contact person in coordination with the registration office Parthen. Rates apply according to early bird deadlines on the booking website of each event. Additional registrations will be at the price of the date at which these tickets are booked. Decreasing the number of tickets you have committed to is considered a cancellation and subject to handling fees (see below). Names have to be provided prior to the cancellation deadline of the event.

Special registration procedure for exhibitors and sponsors
Exhibitor and full access tickets included in the sponsorship package can be booked on the special registration site/form which will be sent closer to the event to the exhibitor’s/sponsor’s main contact person. Additional registrations can be done via the public registration webpage.


Payment options:

Event fees must be paid prior to the conference. All payments are to be made in Euro. The name, company and invoice number for each attendee should be indicated.

2) By credit card:
This is done along the online registration process, during which the registrant is asked to choose a credit card payment option. Any reimbursement will be done on the credit card that has been used for the registration process.

Invoice address:
An invoice will be e-mailed to the billing contact as indicated during registration. VAT will be applied according to applicable VAT legislation.


(Partial) Cancellations of attendance/switching from virtual to physical attendance by registrants:

Cancellations must be made in writing and must be received by the registration office ‘Parthen’ (registration@parthen.nl) by the cancellation deadline (reference is made to the deadlines overview at the bottom of the terms and conditions). Cancellations and switches from physical to virtual attendance of paying registrations are subject to handling fees: reimbursement of the difference/the registration fee, minus a handling charge, will be made (150€ for physical tickets of more than 1 day, 50€ for physical 1-day tickets and virtual tickets).

After the cancellation deadline, the full cost is due and no refund will be made, and this regardless of whether the registrant attends the event or not.

Consumers as defined by directive 2011/83/EU of the European Parliament and of the Council of 25 October 2011 on consumer rights, meaning any natural person who is acting for purposes which are outside his trade, business, craft or profession, have a period of 14 days to withdraw from the distance or off-premises contract, without giving any reason, and without incurring any costs other than those provided for in the directive or in the applicable national law. To exercise a withdrawal right, the consumer may either use the model withdrawal form as set out in Annex I (B) of the directive (in English, French or German), or make any other unequivocal statement setting out his decision to withdraw from the contract. The withdrawal for or statement should be sent to the following e-mail address: events@alfi.lu

Consumers will lose their rights of withdrawal (for service contracts or the supply of digital content which is not supplied on a tangible medium) once the contract has been fully performed.

For hybrid paying events, registrants always have the option to convert their registration from a physical attendance to virtual attendance on their own initiative, in which case a handling fee of 150€ will be charged. Such a change can still be done after the “cancellation” deadline, in which case the full fee for physical attendance will remain due.


Physical, hybrid or virtual events, including conversion to virtual events by ALFI:

ALFI organises most of its events as in-person or hybrid events, but it reserves the right to switch to a fully virtual format if required by specific circumstances (e.g. to meet pandemic restrictions). In case a switch to the virtual format is deemed necessary, ALFI will convert the registrations for physical events automatically into registrations for virtual events. Registrants will be informed accordingly. For paying events, ALFI will offer a fair compensation for this change. Requests for full cancellations in this special case will need to be addressed to the registration office Parthen (registration@parthen.nl) before the start of the event.


Health recommendations and measures by host countries:

For events planned with physical presence, possible health recommendations and measures may apply according to the rules and regulations of a host country.

In that case, speakers and attendees are requested to carefully read the information on applicable rules and regulations for the country in which the event will take place. As these may change over time depending on how a situation may evolve, ALFI recommends to check the latest updates regularly and in particular closer to the date of the event.

It is worth noting that possible health recommendations and measures applied by a respective venue host have to be respected by anyone wishing to attend the event.


Technical requirements for virtual events:

Online event participation may require the registrant to configure his/her software settings on his/her web-device upon first use, or require the registrant to download the software for his/her operating system. The registrant may require administrator privileges on his/her computer to be able to manually install software. The registrant needs a digital device (e.g. computer, tablet, laptop, smart phone) with video and audio function to be able to see and listen to the online event. It is the registrant’s responsibility to ensure proper equipment and access to network, as well as to perform a functionality check of devices before registration.


Intellectual property and (use of) recordings:

Unless otherwise indicated, ALFI owns copyright for the content presented at the event. Some of the copyright for the content may be owned by individual presenters. For online events, the related recording is to be viewed by the registrant only. The content of any event must under no circumstances be recorded or reproduced by the registrant or any third party.

A copy of the presentation or of other material may be made available after registration, and is for personal/non-commercial use of the registrant only. The content must not be modified, distributed to a third party or republished in any way without the prior written consent of ALFI or the presenter.

If the registrant seeks to reproduce or otherwise use the content in any way it is his/her responsibility to obtain approval for such use where necessary (contact: events@alfi.lu). Any breach of copyright, including recording the presentation or any unauthorised use of the material may lead to legal action.


Content of events and links to other websites:
Events organised by ALFI are diligently prepared and performed by dedicated committees, discussion panels, qualified individual presenters and/or moderators. Despite this high standard, ALFI cannot be held liable for the detailed content of any event, quality of presentation or if learning outcomes do not entirely meet expectations. Changes to the programme by ALFI shall be allowed as long as the general character of the topic is preserved. Changes of presenters or moderators, as well as changes to the schedule or timeline shall not entitle the registrant to ask for a fee reduction or even repayment of total fee, unless the start and end time of the event changes by more than 2 hour.

Presentations and the ALFI virtual events platform may contain links to other websites over which ALFI has no control. ALFI makes no representations about the accuracy of information contained on those websites, and it is not liable for the content on those websites.


Recording:
Events organised by ALFI are usually recorded (video, audio, chat). Recordings or part of recordings may be used or made available by ALFI after the event, including to sponsors. Any concerns with respect to the recording can be discussed with ALFI in good time prior to the event date (contact: events@alfi.lu). It is important to note that it may happen that speakers disagree with the publication of the recordings, which can then not be made available.


Media coverage of events:

Events organised by ALFI are usually filmed and/or photographed by ALFI, and possibly by other participants, such as local and international media representatives. This data, including speaker names, may be used by ALFI in advertising events on its website, in marketing material and on social media. Media representatives may do the same and e.g. report about the event in local and international press articles. ALFI does not take any responsibility for content written or shared by other participants. Conference venues may likewise be permitted to film and take photos of participants.


Data protection:

ALFI is committed to ensuring that the registrant’s privacy is protected and secured. The association’s privacy policy can be accessed by clicking here.

For the organisation of events, ALFI may use external service providers, especially when it comes to registering for events. If this is the case, the service provider acts as a processor within the meaning of the EU General Data Protection Regulation, and data protection is regulated by a specific data processing agreement with ALFI acting as data controller.

If ALFI events are organised jointly with other organisers or in cooperation with public authorities, the participant lists are generally shared with the organisers or authorities on the basis of a legitimate interest assessment pursuant to Art. 6(1)(f) GDPR.

ALFI may also use the personal information provided during registration to invite registrants to future events organised by ALFI, and add the registrants e-mail address to the association’s distribution lists, e.g. of our newsletters.

The registrant has in particular the right to:

  • request access to his/her personal data and to ask for rectification of these data should they be incorrect/incomplete;
  • request the restriction of the data processing;
  • object to the use of his/her personal data, in particular to data processing for direct marketing purposes;
  • ask for erasure of his/her personal data.

The registrant may exercise these rights by writing to info@alfi.lu. If data cannot be processed as a result, participation in an event may not be possible.


Swapcard:

Functions offered by SWAPCARD CORPORATION SAS, 6 rue du Paradis, 75010 Paris, France, are integrated into ALFI’s event programme. When registering, an account is created and registrants can access the platform with the list of participants to network with others during the event. Sponsors have exclusive access prior to the event. Personal data (e.g. name, e-mail, company and profile picture) are stored on the platform. The user decides whether he or she wants to be visible to others. Further data may be collected when using individual functions such as chat messages. The data is processed by Swapcard exclusively on the servers of AWS in Ireland within the European Union. Liability:

To the extent permitted by law, ALFI excludes: (i) any liability for direct or indirect losses, injuries or damages to persons or property at the event; (ii) all indemnities, warranties, representations, terms and conditions (whether express or implied). If ALFI is liable for any reason, its total liability to the registrant in relation to the event shall, to the extent permitted by law, be limited to the amount of the registrant’s fees received by ALFI.

The registrant to a hybrid or physical event is required to keep his/her personal belongings (including computers and/or other devices) with him/her at all times. Save for damages and losses caused directly by its negligence, ALFI accepts no liability for damages to or losses (including, without limitation, theft) of personal belongings or other objects occasioned on its premises and/or on any premises of any event being staged at external venues.

The registrant may be required to register for and/or participate to the event via third-party registration websites and/or video conferencing or web conferencing platforms/tools. ALFI makes no representation or warranties and shall have no liability or obligation whatsoever in relation to the content and/or the registrant’s use of any such third-party website and/or platforms/tools, and any contract and/or terms of use the registrant may have entered into and/or accepted with any such third party is strictly between the registrant and the relevant third party.


Force majeure:

ALFI shall not be liable or responsible for any failure to perform, or delay in performance of, any of its obligations under these terms and conditions that is caused by events outside its reasonable control ("Force Majeure event"), and in such circumstances ALFI may not reimburse any paid event fees. A Force Majeure event means any event which is beyond ALFI’s and/or the registrants reasonable control, including but not limited to, Act of God, fire, flood, lightening, storm, earthquake or other climatic or meteorological catastrophes, failure or delay of common carrier or impairment or lack of adequate transportation facilities, accident or repair to machinery, act of sabotage including but not limited to piracy or hacking, embargo, government requirement or action including the imposition of sanctions by any country against Luxembourg or a country in which a party is registered or a country in which the event is deemed to be staged, war, civil or military authority, terrorism and industrial dispute, strike or labour disturbance, regulatory change or change in law, or any event or circumstance which puts at risk or endangers the health, safety or security of ALFI’s and/or the registrants personnel, which prevents and/or affects the performance of these terms and conditions and/or the staging of the event, and could not have been prevented, avoided or remedied by the party affected by the Force Majeure event (i.e. the party not able to perform) taking reasonable precautions. Performance under these terms and conditions is deemed to be suspended for the period that the Force Majeure event continues to affect performance. ALFI and/or the registrant will use its reasonable endeavours to bring the Force Majeure event to a close or to find a solution by which ALFI’s and/or the registrant’s obligations under these terms and conditions may be performed despite the Force Majeure event.


Entire agreement:

These terms and conditions constitute the entire agreement and understanding between ALFI and the registrant, and they supersede all previous agreements, arrangements and understandings between both parties relating to the same subject matter. The Registrant confirms that he/she has not relied upon any statement, representation or understanding that is not expressly set out in these terms and conditions, and that the registrant shall have no remedy in respect of any statement, representation or understanding which is not expressly set out in these terms and conditions.


Applicable law and jurisdiction clause:

These terms and conditions are governed by the laws of the Grand Duchy of Luxembourg. Any disputes arising from or in connection with them shall be brought exclusively before the competent court of the Grand Duchy of Luxembourg.
